To run a report, click Run a workflow, open the Reports tab, pick O365 License Assignment Report, Get User Account Details or Get Mailbox Information and the client, and click Open report. Core reads the client’s tenant live: switch between Overview and By user, filter to All, Licensed or Unlicensed users, click a licence to see who holds it, and click Export CSV for the rows on screen.

Run a report: the Reports tab, reading a licence report, Export CSV, Save Report and sharing (1:11).

Reports lists every saved report, newest first; each is a snapshot of the data when it was created. Save Report always saves it as Internal only.
The Reports page with Search reports and All visibilities filters, and a table of reports with Name, Visibility, Password, Created and Actions columns. Shareable licensing reports show a hidden password with Show, and Share, View and delete actions; internal reports show View and delete.
Saved lookups are Internal only and can’t be shared. Monthly licensing reports, and their test sends, are Shareable externally: Show reveals the password and Share gives the link. Deleting a report stops its link working.
The Share report dialog: Anyone with this link can view Licensing report — Acme Corp — October 2026 (after entering the password), a Public report URL on forms.yourmsp.com with a Copy button, and an Open in new tab link.

Schedule a monthly licensing report

1

Open Scheduled reports

Go to Settings > Scheduled reports and click Set up on the client’s row. Each client can have one schedule.
The Scheduled reports page listing clients with Schedule, Recipients, Last sent and Status columns. Acme Corp is Active and Globex is Paused, both Monthly on the 1st at 09:00; the other clients are Not scheduled. Each row has Test send and Edit or Set up.
2

Set the day, time and recipients

Set Day of month, Time and Timezone, add Recipients, optionally pick a sending profile under Send via, and click Save schedule.
The Scheduled licensing report — Acme Corp dialog with Day of month 1st, Time 09:00, Timezone London, recipients it@acme.com and finance@acme.com, Send via Platform default (Triggr), the Active — send this report every month box ticked, and Remove, Cancel and Save schedule buttons.
3

Send a test

Click Test send on the row, choose Send to and Send via, and click Send test. The subject starts with [Test], and its report is saved to Reports marked (test).
Recipients get a Licence utilisation summary, a View the full report link and its password; no sign-in is needed, and each month’s report has its own password. The email comes from Triggr Core unless you pick a sending profile; the report page shows your logo and “Shared by” your name. Untick Active — send this report every month to pause a schedule; Remove in the Edit dialog deletes it.

What your clients see

What your clients see: the emailed licensing report, the password-protected report page, and running a report from your homepage (1:13).

  • The shared report page: the link from the monthly email opens a page with your logo. They enter the password and click View report to see licence use and each user’s licences, as they were when the report was made.
  • Your homepage: to let clients run a report themselves, open it in Config, set it to Public form only or Internal + public, and tick List on homepage. Optionally use Restrict access to limit it to groups. Their staff sign in to your homepage with their Microsoft work account and run it against their own company’s tenant, with the same views and Export CSV. See Share your forms.
