Create Mail Contact adds a mail contact for someone outside the client’s organisation, such as a supplier or partner, to the client’s Exchange Online. You type the contact’s name and email address; nothing is picked from a list. It needs Microsoft 365 connected, with Exchange access for the client.

Create Mail Contact in 48 seconds: what it asks, what it does and what you get.

What the form asks

What it does

  1. Creates a ticket in your PSA, if Ticketing is on.
  2. Waits for approval, if Approval is Internal or External, or a conditional override matches.
  3. Create Mail Contact: runs New-MailContact in the client’s Exchange Online, named with the display name and pointing at the external email address, with the alias if you gave one.
Each run creates one contact. To remove one later, use Delete Mail Contact. With Log actions to the ticket on, the ticket also gets a note when the run starts, after Create Mail Contact and when the run completes.

Configure it

Go to Config, choose Mailboxes and click Create Mail Contact.

Configure Create Mail Contact: every option, step by step (1:29).

Approval and Ticketing are set on Base config and apply to every client unless you override them for one. For how Base config and client overrides work, see How configuration works.

Troubleshooting

Core checks the external email address looks like name@domain.tld. Type the contact’s full address, with no spaces.
Exchange returned an error. Open the step in Executions to see Exchange’s message, and check the name, address and alias you typed.
The client has no Exchange connection in Triggr yet. See Exchange Online.
